1. Who we are
Ktronics Pty Ltd, trading as Ktronics Electronic Security Solutions, is a Sydney-based commercial electronic security business operating under NSW Master Licence 102039. We design, install, monitor, and maintain access control, CCTV, alarm, and integrated security systems for Australian businesses.
In this policy, "we", "us", and "our" refer to Ktronics. "You" refers to anyone interacting with our website, contacting us, or receiving services from us — whether you're a prospect, a client, a site visitor at a client's premises, or a supplier.
2. What information we collect
From website visitors
- Information you submit through our contact form: name, email, phone, company, and the details of your enquiry.
- Technical information your browser sends automatically: IP address, device type, browser, referring page, and the pages you view on our site.
- Cookie and analytics data — see Section 7.
From clients and prospects
- Business contact details for the people we deal with at your organisation.
- Site addresses, building and floor plans, and other information needed to design a security system.
- Billing details and payment information.
- Records of correspondence, quotes, work orders, service tickets, and invoices.
From security systems we install or monitor
Where we install or maintain access control, CCTV, alarm, or monitoring systems at your site, those systems may capture information about people on the premises. The data captured — cardholder lists, badge swipes, video footage, alarm events, intercom recordings — is owned and controlled by our client (the site operator), not by us. We access it only to deliver the services our client has engaged us for, and we handle it in line with the contract we have with that client.
If you are a person whose data has been captured by a Ktronics- installed system at someone else's premises (for example, an employee or visitor at a client site), the relevant privacy contact is that site operator, not Ktronics.
3. How we use your information
We use personal information only for the purpose it was collected, including:
- Responding to enquiries, providing quotes, and scoping projects.
- Designing, installing, commissioning, monitoring, and maintaining security systems.
- Issuing invoices and processing payments.
- Sending service notifications, compliance reports, and (where you have an active project or service contract) operational updates.
- Improving our website, services, and internal operations.
- Meeting our legal, regulatory, and security industry licensing obligations.
We do not use your personal information for marketing unless you have opted in. You can opt out of any marketing communication at any time using the unsubscribe link in the email or by contacting us.
4. Who we share information with
We do not sell your personal information. We share it only where necessary to deliver our services, including with:
- Trusted suppliers and subcontractors — for example, equipment manufacturers, third-party monitoring centres, or specialist trades — strictly to the extent needed to complete the work.
- Cloud and software providers who host our business systems (CRM, email, accounting, file storage). These providers are bound by their own privacy obligations and we choose vendors with appropriate security controls.
- Government, law enforcement, or regulators where we are legally required to disclose information — for example, in response to a valid warrant or subpoena, or under the Security Industry Act 1997 (NSW).
- Professional advisors (lawyers, auditors, insurers) where reasonably necessary.
5. Where your information is stored
Your information is stored on systems located in Australia wherever practical. Some of our software providers may store or process data overseas (for example, in the United States or the European Union). Where this happens, we take reasonable steps to ensure the provider handles your data consistently with the Australian Privacy Principles.
6. How we protect your information
We are a security business — protecting information is the discipline we sell. We apply the same thinking to our own systems and our clients' data:
- Access controls, role-based permissions, and audit logging on our internal systems.
- Encrypted transmission (TLS) for data sent over the internet.
- Locked premises, alarmed offices, and CCTV at our Brookvale workshop.
- Background-checked staff with current NSW security industry licences.
- Vendor due diligence on the cloud platforms and subcontractors we use.
- Secure destruction of records once they are no longer needed.
No system is impenetrable. If we ever experience a data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme.
7. Cookies and analytics
Our website may use cookies and similar technologies to make the site work and to remember your preferences. From time to time we may also use analytics tools that record aggregate, non-identifying statistics — page views, traffic sources, and rough geographic location — to help us understand how visitors use the site so we can improve it. These tools do not capture your name, email, or phone number unless you submit them through a form.
You can control or disable cookies through your browser settings. Disabling cookies may stop some parts of the site from working as intended.
8. How long we keep your information
We keep personal information only for as long as we need it to deliver our services or to meet a legal obligation, then we securely destroy or de-identify it. As a general guide:
- Website enquiries that don't progress: up to 24 months.
- Quotes and project records: up to 7 years after project completion (in line with general business record-keeping requirements).
- Invoices and tax records: 7 years (Australian Taxation Office requirement).
- Security industry compliance records: as required by the Security Industry Act 1997 (NSW) and ASIAL membership obligations.
9. Your rights
Under the Australian Privacy Principles, you can:
- Ask what personal information we hold about you.
- Ask us to correct information that is inaccurate, out of date, or incomplete.
- Ask us to delete information we no longer need (subject to legal record-keeping obligations).
- Opt out of marketing communications at any time.
- Make a complaint about how we have handled your information.

10. Links to other websites
Our site may link to third-party websites — for example, manufacturer pages, industry bodies, or social media. We are not responsible for the privacy practices of those sites. We encourage you to read their privacy policies before sharing information with them.
11. Children
Our website and services are intended for businesses and adults procuring commercial security services. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us so we can delete it.
